Terms & conditions

 

Please read these terms and conditions carefully before you make a booking with me. They tell you about how I  provide services to you and how you and I may change or end an agreement or booking. These terms should be read in conjunction with my data use and privacy policy.

I am Tanya Paget, trading as Ellipsis Coaching. I offer a range of coaching, workshop and talk sessions focusing on personal and professional development, goal setting and change. I am a sole trader, delivering the majority of my services myself, but may work with other professionals from time to time.

I aim to respond to all messages within 48 hours of receiving them outside of holidays and weekends. 

I will contact you via the details you provided at the time of booking. If your details change please email me to let me know as soon as possible.

 

Bookings

 

I offer my services of coaching, talks and workshops with the below basic ground rules. These are agreed to at the time the booking is made. 

If I am unable to accept your booking, I will inform you of this and will not charge you. This might be because the session is no longer available, has changed in some way or because I have identified an error in the price or description of the session.

 

Ground rules (all)

 
  1. Attendees of coaching / talks / workshops are fully responsible for the decisions and choices they reach during and in connection with the sessions.

  2. The aim of coaching / talks / workshops is to support and facilitate the development of personal and / or professional goals and strategies or plans to achieve them.

  3. Participants attend with the intention of bringing an open, honest, reflective and respectful mindset.

  4. Attending coaching / talks / workshops is not a substitute for counselling, mental health care or substance abuse treatment.

  5. Confidentiality: I maintain strict client / attendee confidentiality and run my services in a responsible way. I ask all attendees to do the same for each other and with personal information shared during our sessions. I subscribe to the Code of Ethics laid out by the International Coaching Federation here.

  6. Attendees are solely responsible for their personal possessions at all times and I am not responsible for anything that is lost or stolen while at a session I am running.

  7. I operate a zero tolerance policy to inappropriate behaviour of attendees, in particular violent or abusive behaviour to myself or others at my sessions. I may, at my reasonable discretion and without liability or any obligation to refund any fees paid, refuse to supply a session to attendees demonstrating, in my reasonable opinion, undesirable or inappropriate behaviour. 

  8. Photography, video and audio recordings - I record most 1:1 coaching sessions for the audio only. The audio is shared with the client if they wish, to be used for their own reflection and used by me for my reflection and continued development as a coach. I do not use video or photographic images without explicit prior consent from 1:1 sessions. From time to time I, or people instructed by me, will take photos, make videos or record audio from workshop and groups sessions. These are for advertising and marketing my services and may appear on third party material for example websites and leaflets. By making a booking to a workshop or group session you are providing consent to this. To opt out please email me at tanya@ellipsiscoaching.com

  9. Feedback from attendees of coaching / talks / workshops might be used in an anonymised form in marketing including on social media. Feedback is only used in an identifiable way with prior consent from the individual.

  10. Agreements for services are signed having read the terms & conditions document and the data use and privacy policy for Ellipsis Coaching.

 

Ground rules (coaching clients)

 

  1. As the client I understand that I am fully responsible for the decisions and choices reached during the coaching sessions.

  2. I understand that ‘coaching’ is a relationship I have with my coach that is designed to facilitate the development of personal or professional goals and develop a plan/strategy for achieving those goals.

  3. I understand that coaching is a comprehensive process, which may involve all areas of my life including work, family, health, relationships, education and recreation. I acknowledge that deciding how to handle any issues is my responsibility.

  4. I understand that coaching is not a substitute for counselling, mental health care or substance abuse treatment.

  5. I promise to inform my coach if I am currently in any kind of therapy and that any medical or therapeutic practitioners involved in my care have been advised of my intention to work with a coach.

  6. I agree to commit to the programme of coaching sessions to facilitate the required change. I understand that if I am not satisfied with my progress during this time and wish to cancel my remaining sessions, I may do so at any time up to 48 hours before the following session.

  7. I have read and am happy with the terms & conditions document and the data use and privacy policy for Ellipsis Coaching.

  8. I consent to my coach sharing my contact information with the ICF (International Coaching Federation) in the instance of an audit in relation to coach credentialing.

  9. I consent to my coach recording the sessions through notes, audio & video and the recordings being used for my own reflection and my coach's reflection and development. I understand I can also decline to be recorded at any time if it does not serve me.

  10. I understand that my coach may use my feedback anonymised in marketing including on social media. 

 

Cancellations & changes to consultation calls, coaching, talks, workshops & group sessions

 

Changes

 

If you want to make changes to a booking, please contact me at tanya@ellipsiscoaching.com and I can let you know if the change is possible. If the change is possible I will let you know of any differences in price, timings or anything else necessary as a result of of your requested change. If we cannot make the change or the results of making the change are unacceptable to you, you can cancel your booking agreement within the timeframes outlined below.

 

Failure to attend

 

If you fail to attend a session you have booked and do not contact me in advance of the session, I am unable to refund or rebook the session. If this was a ‘free’ consultation call - I will have to charge for the use of my time.

 

Coaching and consultation call cancellations

 

Before 48 hours

If you or I decide to cancel a consultation call, coaching session or package of sessions for any reason, we may do so up 48 hours before the next session. If you need to cancel, let me know by sending an email to tanya@ellipsiscoaching.com and I will process a refund for the session or remaining block of sessions. I’ll refund to the person who originally placed and paid for the booking. If I need to cancel I will let you know by sending you an email to the contact address you provided at the time of the booking and arrange with you to refund or rebook.

Within 48 hours

If you need to cancel within 48 hours of the session I am unable to offer a refund and if the booking was for a free consultation call I will need to charge for my time. At this late stage I will be unable to use the time to see another client. In some instances we may be able to negotiate a reschedule, switch of session format e.g from walking to video or gift of the session to another - please contact me to discus the specifics of your situation.

If I need to cancel within 48 hours of the session I will refund it in full if we are unable to rebook an alternative time or switch to an alternative format. I will let you know of the cancelation via email or text message.

It is really useful customer feedback to know the reason for the cancellation, however feedback is not a requirement in order to receive a refund. 

 

Talk cancellations

 

If you have booked a talk and then need to cancel it you are free to do so up to 7 days before the session. Do so by sending me an email at tanya@ellipsiscoaching.com and I will process a refund for the session. If accommodation and transport are included in my fee and have been booked, these are not refundable. If I need to cancel a talk booked before 7 days of the session, I will let you know via email. We can then discuss alternative arrangements, but if we are unable to make any I will refund the booking fee in full.

If you need to cancel within 7 days of the session I am unable to offer a full refund. I am very happy however to rebook an alternative date, or to work with you on alternative options. If I need to cancel a talk within 7 days of the session I will refund the booking fee if we are unable to make alternative arrangements.

 

Workshop & group cancellations

 

Once you have booked a place on a workshop or group coaching session I am unable to offer a refund if you then need to cancel it. This is due to the limited nature of places and the booking of facilities and resources to deliver the workshop or session. I am happy for you to gift or transfer your booking to another up to 48 hours before the session, to do this email me at tanya@ellipsiscoaching.com and I will alter the booking details. 

 

Ending our booking contract or agreement

 

You can always end a booking contract or coaching agreement.  Please let me know if you want to do this in writing at tanya@ellipsiscoaching.com Your rights around receiving a refund will depend on what you have booked and at what point in the timescale of booking and delivery you request the end of the contract and the reasons for the ending of the contract. Specific details are laid out in my cancellation section of these terms and conditions. Your consumer rights are covered by the Consumer Contracts Regulations 2013. 

In the unlikely event that I need to end a contract I will let you know in writing via the email you have supplied at the time of booking the session/s. I will refund you in full for any services that have not been provided.

If you have problems or complaints please email me or arrange a time to call and discuss.

 

Other terms

 

Special offers and discounts. Any special offers or discounts advertised on the website or in other media may be withdrawn at any time, without notice. 

Transferring bookings between individuals may only be done with prior written consent.
